Xero is an incredible tool for your global business because it supports over 160 currencies. This feature can be used to accept payments, receive bills, and send invoices, quotes, and purchase orders. G-Accon for Xero has gone one step further and even offers currency conversions for all of your reports in as easy as ONE CLICK.

How to set up the desired currency

You can change the global settings by going to your Xero account, selecting Settings, and choosing Currencies. Then you have the option to add the desired currency to your organization.

All G-Accon for Xero generated reports now have the ability to be displayed in your chosen currency. Your real-time updated reports will be automatically updated in your selected currency without any additional action required.

Furthermore, this feature allows your business exact conversions between various currencies. Gone are issues with complicated reconciliations and exchange rate guesswork with foreign currency. With G-Accon, you can just choose which currency you want reports in, and they will automatically be revalued using the latest currency conversions and exchange rates.

Multi-Currency Converter

Our latest reporting enhancement makes it even easier to view all your reports in multi-currency, convert back to your base currency, and share your reports with your customers, clients, and management.

In order to generate report in different currency you need to be logged in into Xero. Then you need to select from the menu Add-ons -> G-Accon for Xero -> Get Accounting Reports -> Select an accounting report and choose Option #4 (Multi-Currency Converter).

You should be able to specify the currency that had been setup in your Xero account and rate. In the below example the Balance Sheet will be converted from NZD to EUR at the rate 1NZD- 1.4633EUR.

To execute the query, click on the “Execute” button. The Balance Sheet financial report will be calculated in euro and presented in the Google Sheet.

Introducing Transaction Detail by Account Report

How to pull this report?

To get the accounting report data from QuickBooks you need to be logged in into QuickBooks. Then you need to select from the menu Add-ons -> G-Accon for QuickBooks -> Get Accounting Reports ->  Transaction Detail by Account.

Next step is to select  Transaction Detail by Account  report from the drop down menu.

How to select filters?

G-Accon for QuickBooks provides the ability to set up the Date Range for your data manually or you can refresh your data dynamically. There are required and optional attributes for Transaction Detail by Account report such as Accounting Method, Accounts, Classes, Transaction Types, Vendor, and Customer.

G-Accon for QuickBooks provides Optional features that might be useful for your business.

Change Pull Settings allows you to perform the following operations:

  1. Create a new Google Sheet
  2. Display Report Title
  3. Display only account codes
  4. Keep Original Formatting
  5. Retrieve headers
  6. Create a data Table around pulled data
  7. Freeze Data Table Header
  8. Exclude Auto Refresh

You can also provide the start cell, for instance, A1. And provide the name of the template in Template Name field, for instance, Template #1.

How to schedule report automation?

To schedule Auto Refresh, you can use option Schedule a Refresh. It's important to remember this settings will take effect only if the master auto refresh process in turned on. See the Automation process explanation.

How to execute the report?

To execute the queries you need to click on the “Execute” button. The Transaction Detail by Account will be populated in the Google Sheet.

Dynamic Report Date

For your convenience, we have introduced the Dynamic Report Date as default values in all QuickBooks reports. When you create a template using the Dynamic Report Date option, the system will automatically recalculate the date for you.

For example, you can select "Today" as a value in Dynamic Report Date in the Aged Payable Detail Report and set up the automatic daily schedule. The report will show Today's date for today's execution and tomorrow it will show the next day, and so on.

You also still have the ability to set up Report Date statically. In this case report will show September 17, 2019 every time it runs.

Classes and Location

When you pull raw financial data through the Get Accounting Data options we have enhanced the following objects by adding Classes and Location attributes. The objects which have these attributes are Bills, Bill Payments, Credit Memos, Deposits, Estimates, Invoices, Journal Entries, Payments, Purchases, Purchase Orders, Refund Receipts, Sales Receipts, Time Activities, and Vendor Credits

How to pull these reports?

To get accounting report data from Xero you need to be logged in into Xero. Then you need to select from the menu Add-ons -> G-Accon for Xero -> Get Accounting Reports -> Income by Contacts or Statement Of Cash Flows

Next step is to select Income by Contacts or Statement Of Cash Flows option from the drop down menu.

How to select filters?

G-Accon for Xero provides the ability to set up the Date Range for your data manually or you can refresh your data dynamically. Date range is limited for 365 days. The report data will be calculated based on the selected Date Range.

Income by Contacts also have required and optional attributes such as To Compare with, Sort Previous Periods, Contact Group, and Region Options. Statement Of Cash Flows offers Accounts, Compare with, Sort Previous Periods, Include Sales Taxes, and Region Options attributes.

G-Accon for Xero also provides Optional features that might be useful for your business for both reports.

You have the ability to choose the start cell, for instance, A11 and the name of the template in Template Name field, for instance, Template #1.

Aged Payable Details, Aged Payable Summary, Aged Receivable Summary, Aged Receivable Details reports now have the ability to execute report for the selected contact groups.

To get accounting report data from Xero you need to be logged in into Xero. Then you need to select from the menu Add-ons -> G-Accon for Xero -> Get Accounting Reports -> and then choose the report from drop down menu option. For example, you have chosen Aged Payable Details report:

After you load Aged Payable Details report you have the ability to select the required and optional filters. One of the optional filter is Contact Group. In the example below the "Training" group has been selected.

To execute the report, click on the “Execute” button. The Aged Payable Details report details will be populated in the Google Sheet.

The same optional field you will have in Aged Payable Summary, Aged Receivable Summary, and Aged Receivable Details reports.

New column 'Contact Name' has been added to the Account Transactions report

In order to generate Account Transaction report you need to be logged in into Xero. Then you need to select from the menu Add-ons -> G-Accon for Xero -> Get Accounting Reports ->Account Transactions. You can filter your report by Date Range, specific Account, Cash Transactions, and Regions. To execute the report, click on the “Execute” button. The Account Transactions report details will be populated in the Google Sheet.

Cash Summary and Balance Sheet reports now can be viewed in the Historical format.

Let's check how to pull Cash Summary and Balance Sheet reports. In order to generate Cash Summary or Balance Sheet report you need to be logged in into Xero. Then you need to select from the menu Add-ons -> G-Accon for Xero -> Get Accounting Reports ->Cash Summary or Balance Sheet. You can select required or optional the filters such as Date Range, Accounts, To Compare with, Sort Previous Periods, Include VAT (for UK only), Regions, and Report Layout. Report Layout now has two options: Traditional and Historical layouts. To execute the report, click on the “Execute” button. The Cash Summary or Balance Sheet report details will be populated in the Google Sheet in Historical Layout.

G-Accon recently released  Aged Payables Summary and Aged Receivables Summary Reports.

How to generate reports?

G-Accon is introducing the Tableau BI solution for G-Accon users. G-Accon users will have the ability not only generate their financial reports in Google spreadsheet, but create visual reports. G-Accon Xero and QuickBooks customers will be using Tableau software which is a data visualization tool used for data science and business intelligence. With G-Accon and Tableau auto refresh, you have the ability to build Real Time Dashboard.

Here is how it works.

In order to pull Xero and QuickBooks Reports, first of all you need to download the Tableau software from Tableau website. It can be 14 days trial version or free Tableau Public.

Next step, you need to open the installed Tableau software and select Connect. Then you need to choose “More Server” which is under "To a server" option of the Connect menu; and select Google Sheets:

In the new tab Tableau opens in your default browser, you need to do the following:

After you click on the “Connect” button, you will see the following screen.

Work with G-Accon Google Spreadsheet

In order to see the graph representation, you need to select a report from the "Sheets" category and drag it to the main area.

After you drop the G-Accon Google Sheet in the designated area, you should see your data has been moved to Tableau table.

Now you can use Tableau application to visually represent your financial (Xero/QuickBooks) data.

Introducing G-Accon, our June app partner of the month

G-Accon brings a simple solution to the messy problem of having to connect different sources of financial information faced by many businesses. As an integration tool between Google Sheets and Xero synching both ways, G-Accon has helped over 4000 customers since launching on Xero’s app marketplace in early 2018.

By connecting to Xero Accounting, Payroll, Projects and Assets, users can extract live data and reports from their Google Sheets while automation takes care of auto-refresh, emails, backups and alerts as often as the user wants.

G-Accon’s founder Andrey Kustarnikov says making life easier for users through automation was always the goal, and very important to the business.

“G-Accon is mostly about automation. Many operations these days can be done with a little bit of direction from human supervision. Accounting is one of those fields where you can automate many things.”

Ain’t nothin’ but a G thang

Andrey says the rising popularity of G-Accon is because the small, agile team are all specialists in bespoke cloud solutions.

“Being specialised in AWS, Azure and Google meant we knew we could somehow link Google and AWS to build prebuilt applications. We chose Google because it’s a huge market, and the G Suite marketplace provides a great opportunity for customers to discover us.”

With Google Sheets being free and highly adopted by small businesses and their advisors, Andrey knew marketing and advertising wasn’t required as much as other platforms. This saved resource during the crucial launch phase so the team could focus on product development.

“It’s attractive to sell on G Suite because there’s an entire marketplace where people go and check what’s there. It’s a great opportunity.”

Finding customers fast through Xero

Since G-Accon launched in February 2018, Andrey notes tech-savvy advisors are a growing persona embracing the integration.

“We find a lot of bookkeepers, accountants and advisors with a good understanding of software who are creating automated solutions for their clients are our main users.”

Getting these users on side was a key part of G-Accon’s launch strategy with Xero.

“We started to look and around and tried to find companies who were targeting small businesses. Xero was a really attractive market from that point of view, and the power of Xero’s ecosystem was very attractive. The platform makes it much easier to advertise your product.”

Since joining Xero’s app marketplace Andrey has seen how advisors experienced in Xero speed through traditional marketing funnels much faster than leads from other sources.

“It’s been a great channel for us. We’ve noticed people coming from Xero are usually more precise, more professional, and they know Xero very well. That’s great for us because if we don’t understand what they want, they can explain it to us.”

The difference in traffic source alone has a huge impact on conversion for G-Accon.

“Customers coming from G Suite may not know as much about their accounting solution, meaning it can be more difficult to understand their needs. Xero has helped us a lot in this way, as customers really know what they want early on.”

Timing (and quality) is everything

G-Accon’s rapid growth comes down to two things – a great product and great timing. Offering a solution to a heavily adopted product like Google Sheets opens up doors to a massive market, but any product needs to be good for mass adoption.

Having spent 20 years as a developer working for financial institutes, Andrey spotted a gap in the market and wanted to jump fast.

“When we started, we were the first G Suite application for Xero. We saw it wasn’t there, and we knew it would be a good idea.”

Andrey considers competitors to G-Accon vary from the traditional to very indirect. While there  are obvious ones like Excel, many of those users sit behind firewalls. In an open marketplace economy where those firewalls don’t exist, Andrey finds any and all cloud solutions are competitors.

“At first there was a lot of competition, and it wasn’t easy to stand out. But when we developed new features, we found a few customers. To stay ahead of the game we listened to them and their advice. We developed what people were asking for. Being customer oriented is very important to us.”

Growing with Xero and ramping up the roadmap

Having won Xero’s Emerging App Partner of the Year at the Xero America Awards in 2018, Andrey’s eyes are focussed on the future as he considers exciting ways to grow the product.

“There are a lot of product updates and releases coming soon. Consolidation reports, more robust workflows, and running different tasks with data… we’ve got a lot of ideas to make G-Accon more user friendly and ramp up the platform element.”
