Automatic Workflows is a robust tool enabling users to

- design diverse workflows,
- incorporate specific templates,
- set up the different schedules for different workflows
- establish different schedules
- notify customers through various automatic notifications
- set up alerts and notify clients
- create web hooks
- generate data snap shot by using backups functionality

How to create a workflow?

Automatic Workflows helps G-Accon users to organize all workflows within the google spreadsheet in more efficient manner, automate their business processes including tasks like refreshing the queries/reports; sending emails, setting up alerts, create backups, use web hooks, and much more in more efficient way.

Select from the G-Accon menu option Automation -> Create Workflow:

 

 


 

Step 1: "Name, Description, Status, and Schedule":

  • Specify the name of the workflow and provide a description. Example: Name - "Refresh P&L", Description - "Refresh P&L at 5 am daily"
  • Choose between two statuses: "Active" or "Not Active". If the workflow is not ready for execution, set the status to "Not Active".
  • Keep Operations Log "On" to enable the log to view a record of all processes.



How to add templates to a workflow?

Step 2: Add Desired Templates:

  • Access the "Templates".
  • Utilize the user-friendly interface to view all existing templates.
  • Use a "drag and drop" action to move selected templates to the "Selected template(s)" window on the right.
  • The chosen templates become integral to your workflow.

    Example: In our case, "ProfitAndLoss" is included in the "Refresh P&L" workflow:


How to schedule data refresh?

Set Up Schedule

  • Configure the schedule to automate the refresh process.
  • Choose the refresh frequency and select a specific day of the week (if using Weekly or Monthly frequencies).
  • Specify the time for the scheduled refresh.
